An AI pilot is a small trial. You take one job, try doing part of it with AI and check how well it works. For example, you might use AI to sort customer enquiries while your team checks the suggestions.
Follow the six steps below, then use the planner to make a plan for your own business.

02Time it
Find out how long it takes now
Time a few jobs from start to finish. Include the time spent checking and fixing mistakes. Count how many of these jobs your team does in a normal week.
You’ll have: Your weekly job count and the time each job takes.
03Gather examples
Put together a few practice jobs
Choose a mix of simple jobs and tricky ones. Remove private details and check you have permission to use the information. Save a few fresh examples for the final test.
You’ll have: A set of examples ready to use.
04Try it with AI
Run the same jobs through your idea
Ask the AI to help with the task, then look at what it produces. Did it get the details right? What did it miss? Try a job with missing information and see what happens.
You’ll have: Notes on what worked and what needs fixing.
05Check the work
Have someone look over each result
Choose someone who knows the job to check the answers. They can fix mistakes and send unclear jobs back for another look. Time this part too.
You’ll have: A checked result and the time it took to get there.
06Choose what’s next
Was it worth the effort?
Compare the time and quality with the old way of doing the job. If it helped, try a little more work. If it needs changes, adjust it and test again. You can also leave it there.
You’ll have: A decision: keep going, make changes or stop.
Start with your inbox.
Imagine your inbox gets a mix of booking requests, questions and complaints. You could try using AI to suggest which group each message belongs in. Someone on your team checks the suggestion and decides what to do with the message.
Try a few messages and count how many end up in the right group. Add up the time spent sorting, checking and fixing them. Compare that with the time your team usually spends on the job.

We multiply jobs per week by minutes per job, then divide by 60 to get hours. The AI estimate includes time for someone to check and fix the work. It leaves out setup, training, software fees and upkeep, so treat it as a time estimate rather than a dollar saving.

Questions before you start
How long should an AI pilot take?
Give yourself enough time to try both everyday jobs and tricky ones. Choose a date to look at the results together. Allow extra time if you need to connect different systems.
What if the tool shows no time saved?
The checking may take longer than you expected. Try a smaller part of the job, or choose a different task and compare the times again.
